DOCUMENTS FOR A BUILDING QUOTE
What Documents Does a Builder Need to Prepare a Quote?
The clearer the project information, the fewer assumptions a builder needs to make when pricing.
Short answer
For a detailed building quote, provide the latest architectural or building drawings, engineering available at that stage, a written specification or selections schedule, site information and any relevant permit or planning documents. The exact documents depend on whether the project is a renovation, extension or new build, but consistent information helps builders price the same scope and reduces uncertainty.
Start with the latest drawings
Provide the current drawing set and clearly identify the revision. For renovations and extensions, existing and proposed plans are particularly useful because the builder needs to understand both the new work and what changes to the existing home are required.
If the design changes after pricing, the quote may need to be updated.
Engineering reduces structural assumptions
Structural drawings and details help define beams, posts, footings, slabs, framing and other structural work. If engineering is not complete, the builder may need to carry assumptions or allowances.
For early feasibility pricing, concept information can still be useful, but it should be understood as less certain than a quote based on complete documentation.
A specification tells the builder what quality level to price
Plans show where things go, while the specification explains what products, finishes and performance requirements are expected.
Windows, doors, appliances, sanitaryware, flooring, cabinetry, heating and cooling, electrical items and external finishes can all materially affect price.
Site information matters for renovation, extension and new builds
- ✓Site survey and levels where available
- ✓Soil information where relevant
- ✓Existing service information
- ✓Access constraints
- ✓Planning or title constraints already identified
- ✓Photos of the existing property
- ✓Existing drawings or permit records if available
Separate owner-supplied items from builder-supplied items
If you intend to purchase appliances, fixtures, fittings or other items yourself, identify them clearly so the builder does not price the same item or assume responsibility for supply.
Also clarify who is responsible for delivery, storage, installation compatibility and warranty coordination.
Questions homeowners ask
Can I get a builder quote without final plans?+
You can often obtain an early estimate or feasibility price, but certainty improves as drawings, engineering, specification and site information become more complete.
Do I need engineering before getting a quote?+
Not always for an early estimate, but structural engineering can materially improve pricing accuracy where beams, footings, walls or other structural work are involved.
Why does a builder need a specification?+
The specification defines the expected products, finishes and quality level so the builder can price more than just the physical layout shown on drawings.
Should I send every builder the same documents?+
Yes. Using the same information makes quote comparisons more meaningful.
What if I do not have existing house drawings?+
A site inspection, measured drawings, survey or other existing-condition information may be needed depending on the project.
